Events Assistant - Job description
The Royal Institute of International Affairs is an independent policy institute based in London. We do this through original research and by convening discussion, helped by our core teams and our global network of fellows.
As part of the Events Production team, the Events Assistant will provide administrative and logistical support for a wide range of events, from small member briefings and private roundtables to larger conferences, working closely with colleagues in Events Programming and Fundraising. Reporting to the Head of Event Production and working under the guidance of Event Producers, you will take responsibility for defined tasks and event elements, escalating more complex issues as required.
Key Responsibilities
Planning and Coordination
- Support the Head of Event Production and Event Producers in delivering the annual events programme.
- Support the organisation of events, assisting with scheduling, room bookings, supplier coordination and speaker logistics.
- Contribute to the delivery of larger flagship events and institutional conferences as required.
- Maintain accurate and up-to-date information across CRM and shared systems.
- Support effective budget administration by helping to track costs and process invoices as needed.
Event Delivery
- Support event logistics including room setup, AV coordination, catering, registration and online hosting.
- Support speaker coordination including invitations, briefing materials and logistics.
- Assist with building and updating event pages and registration pages.
- Provide on-the-day support, resolving routine issues and escalating complex matters.
- Support post-event follow-up including feedback collection and thank you correspondence.
Collaboration
- Work closely with colleagues across Events Production, Events Programming, Research Programmes, Catering, AV, Facilities and Marketing.
- Assist with the coordination of student ambassadors.
- Share learning and contribute to improving processes and systems.
Essential Skills and Experience
- Some experience supporting events or similar activities in a professional, academic or customer facing environment.
- Strong organisational and administrative skills with attention to detail.
- Ability to manage tasks independently within agreed processes.
- Clear written and verbal communication skills.
- Positive and collaborative approach with willingness to learn.
- Competent user of Microsoft Office and ability to learn new systems.
Desirable
- Experience supporting conferences or public events.
- Familiarity with CRM or event management systems.
- Awareness of GDPR and data protection principles.
- Interest in international affairs or public policy.
