Editorial and Communications Assistant
International Affairs (IA) is one of the world’s leading international relations journals, with a focus on publishing scholarship of the highest quality that is valued by both academic and practitioner audiences.
The journal is published six times a year by Oxford University Press on behalf of Chatham House.
As Editorial and Communications Assistant you will play an important role in supporting the smooth-running of the journal. You will carry out initial checks on articles submitted for publication and administer the peer review process in our online submission system (ScholarOne). You will coordinate closely with our academic editors as well as the IA team.
We are looking for someone highly organized and self-motivated with an interest in international relations. With a positive approach to solving problems and excellent communication skills, you will be the first point of contact for the journal and will deal with queries and support authors with technical issues related to the submission process. You will also help us to share the ideas in the journal to our readers through our communications activities.
This role is ideally suited to someone seeking a first role in academic publishing and will offer hands-on experience of the journals publishing process.
Key Responsibilities
Editorial office support
Provide administrative support to the Editorial Office.
ScholarOne administration: initial submission checks, assigning papers to handling editors, inviting reviewers, chasing overdue tasks, and processing decisions.
Respond to author and editor queries related to the submission process.
Update and create ScholarOne user accounts as needed.
Collect and report on Equality, Diversity and Inclusion (EDI) data, such as the diversity of authors being published in the journal.
Communications support
Help to create day-to-day social media content for the journal.
Support planning for events and conference attendance.
Department administration
First point of contact for queries from Chatham House members and subscribers.
Support the Editorial Board and the International Advisory Board, including arranging meetings and taking minutes.
Arrange and book team travel.
Requirements
Essential
Proven ability to learn, understand, and use new computer systems and software efficiently
Good general knowledge of, and a curiosity about, international affairs.
An understanding of journals publishing including peer review.
Experience of using social media to promote content.
Strong verbal and interpersonal skills, including the ability to deal diplomatically with members, authors and researchers.
Strong organizational skills with attention to detail and a methodical approach to work and record-keeping.
Ability to multi-task and prioritize workload effectively.
Desirable
Experience of academic journal publishing.
Knowledge of the ScholarOne submission platform.
Experience of using Word templates for publications and writing/editing marketing materials.
